Overview
The Project Operations team fosters and supports all communication, workflow, and processes at iU. We like to think of the Project Operations team as the heart of the organization - the central hub through which all ideas flow. From the first note in a brainstorm to the final delivery out the door, our PMs are guiding the team to success through their organizational and leadership skills. The Project Coordinator supports the overall success of the department through active participation in project organization, reporting, and management of small-scale projects and internal initiatives.What You’ll Be Doing:
  • Manage New Biz funnel through review of New Project Forms (NPFs), creation of corresponding project boards and folders, and translation of project needs for acquiring Project Manager assignment(s)
  • Own data entry of new project information into time tracking/reporting software including labor and expense estimations
  • Work alongside the Director of Project Operations to pull weekly, bi-weekly, and/or monthly project performance reports, identifying patterns and providing solutions for finding or maintaining efficiencies
  • Audit project boards and folders regularly to ensure consistency and accuracy across book of work
  • Assist Project Managers on medium to large-scale projects where needed (delegated portions determined by supervisor and PM)
  • Manage internal and small-scale pitches and/or projects using the established PM Process, including but not limited to:
  • Creation of timelines, budget estimates, and work breakdown structures
  • Assessment and mitigation of risk(s)
  • Management of scope execution
  • Maintenance of project organization through established platforms
  • Collaboration with internal and external stakeholders
  • Contribute regularly to department meetings including providing suggestions for process improvement
  • Keep Studio goals top of mind and continuously seek opportunities to contribute to those goals when approaching assigned work
  • Reports to the Assistant Director of Project Operations or Program Manager with a dotted line to the Director of Project Operations

What We Need from You:
  • 0-1 year experience in project management or other related fields, preferably within an agency
  • Exceptional written and verbal communication skills, particularly in a hybrid work environment
  • Skillset in Microsoft Office, Google applications, Zoom, and other forms of digital communication; experience with Monday.com is a plus
